AI Usage Policy
RightNow Communications

Why This Page Exists
At RightNow Communications, we use Artificial Intelligence (AI) tools to support creative, strategic, and operational processes. As AI becomes deeply embedded across modern marketing technologies, we believe it's important to communicate how we use these tools—clearly and honestly.
This policy outlines where AI plays a role in our business, the controls we maintain, and the steps we are taking to govern its use responsibly.
How We Use AI
We use AI tools as assistants to our team, not as autonomous creators or decision-makers. These tools help us:
Generate content ideas and outlines
Draft variations of marketing copy
Summarize, rewrite, or adjust tone in editorial workflows
Support internal research and documentation
All final content is reviewed and approved by a human before it is published or sent to clients.
Where AI is Used
Our use of AI extends across multiple channels and tools that support both internal efficiency and external communication.
Website Content
AI may assist in drafting or outlining:
Blog posts
Landing page copy
Metadata or descriptions
All content undergoes human review and editing to ensure it aligns with our standards and brand voice.
Email & Newsletters
AI tools may be used to generate:
Subject line ideas
Outline structures or content drafts
A/B testing variants
All final emails are written or approved by human team members.
Social Media
AI may assist in:
Generating captions or content ideas
Scheduling support through automation platforms
Testing variations of messaging
We retain human oversight over every post and ensure brand alignment across all platforms.
Client Communications & Internal Use
AI may be used to support:
Drafting proposals or outreach templates
Summarizing meeting notes
Creating internal documentation
No client-facing message is sent without human approval.
AI in Third-Party Platforms (Advertising and Beyond)
We recognize that Artificial Intelligence is now an integral and often unavoidable component of many third-party platforms—especially in digital advertising.
Platforms such as Google Ads, Meta (Facebook/Instagram), LinkedIn, and demand-side platforms (DSPs) use AI and machine learning by default to:
Optimize bidding strategies
Predict user behavior and intent
Dynamically adjust ad targeting
Test and adapt ad creative in real time
These AI systems are not fully controllable by end users. While we define the strategic inputs—such as creative, copy, targeting parameters, and budget—platform AI determines much of the delivery logic.
We do not consider this use optional, nor do we claim full control over how these platforms apply AI in execution. However, we monitor performance, manage campaigns responsibly, and maintain strategic oversight consistent with our ethical and brand guidelines.
This AI usage is standard industry practice and fundamental to how digital media platforms now operate.
Current Labeling Practices
We do not currently label AI-assisted content on our website, emails, or social media.
However:
All content is reviewed by human team members
All published work reflects our editorial standards and strategic intent
We are actively exploring how best to implement transparent labeling in the future
As this area evolves, we will update this policy and our content workflows accordingly.
Data Privacy and Tool Governance
We do not share client-sensitive or personally identifiable information (PII) with generative AI tools.
We only use AI platforms that:
Respect data protection regulations (such as GDPR and CCPA)
Do not retain or use inputted data for future training without explicit user control
Allow opt-outs or limited data retention features where applicable
All internal usage of AI tools is subject to our existing data and confidentiality protocols.
Our Commitment
We view AI as a tool—one that can support human creativity, but never replace it. We believe in using AI with intention, oversight, and ethical awareness. Our decisions and content are shaped by humans, for humans.
We will continue to refine our internal standards, evaluate platform risks, and remain transparent about our evolving use of these technologies.
